This policy explains what information we collect from you, why we collect it, who we share it with, and what you can ask us to do with it. If anything here is unclear, write to us — we would rather explain it than have you wonder.
1. Who we are
2. What we collect
- Contact details you give us: name, email address, phone number, and date of birth.
- Booking and purchase history: the classes and sessions you book, attend, cancel or miss, the packages and memberships you buy, and the fees applied to your account.
- Payment information: your card and billing details, handled by Momence, the platform we use for booking and payments, and charged through Stripe, its integrated payment processor, over an encrypted connection. We never store your full card number on our own systems.
- Health information you share with us: injuries, medical conditions, pregnancy, surgeries and physical limitations, through the Massage Intake Form and the Pilates Participation Waiver. We ask for this for one reason only — so we can keep you safe during a session.
- Emergency contact details you list on your waiver.
- Your photo and video preference, as you marked it on your waiver.
- Website information: your email address if you sign up through our website form, and standard technical data such as your IP address collected by the security tools that protect our forms from spam.
3. Why we use it
- To take your booking, charge for it, and let you know if anything changes.
- To keep you safe: your instructor and therapist read what you shared about your health before working with you.
- To send you service messages about your bookings, payments and cancellations.
- To send you news, offers and studio updates — only if you have agreed to receive them.
- To keep our own records: attendance, payments, signed waivers, and studio performance.
4. Health information
- Health information is the most sensitive thing you share with us, and we treat it that way.
- It is used only to adapt your class or your massage. We do not use it for marketing, we do not sell it, and we do not share it with anyone outside the studio.
- It is stored inside Momence, our booking platform. We keep no paper copies and we do not store it in our email. Access is limited to the studio owner and the small team working with her.
- Your waiver and intake form are renewed every year. Your Pilates Participation Waiver and your Massage Intake Form are valid for 12 months. When the year is up you sign them again, and the new version replaces the previous one, so what we hold about your health is always current.
- If something changes before that year is up, please tell us. A new injury, a surgery, a pregnancy, a new medical condition, or any change to what you declared on your waiver, your intake form or any other agreement: it is your responsibility to let us know in advance, before your next class or session.
- When you tell us, we will ask you to renew your waiver or intake form early, so the change is on record and your instructor or therapist can adapt the session to it. Keeping that information current is part of how we keep you safe — we can only work with what you have told us.
- We keep only your current waiver and intake form. When you renew, the new signed version replaces the previous one and the earlier version is deleted. We do not keep an archive of past waivers — at any given time we hold the one that is in force.
5. Who we share it with
We never sell your personal information, we never trade it, and we never share your health information with anyone outside the studio. We do work with a small number of service providers who process data on our behalf:
- Momence, our booking and payment platform. When you book, sign a waiver or pay, your information is transmitted to and stored on Momence's servers, including your account details, your booking history, your waivers and intake forms, and your payment details. Momence handles that information under its own privacy policy, which you can read on its website.
- Stripe, the payment processor integrated with Momence, which handles the card transaction itself under its own privacy policy. Your card details are encrypted in transit and are never stored on our own systems.
- GoDaddy, our website provider, which hosts theplottwiststudio.com and provides the cookies and site statistics described in section 8.
- Google reCAPTCHA, which protects our contact form from spam and is subject to Google's own privacy policy.
- Meta (Facebook and Instagram), which receives website activity through the Meta pixel so we can measure and improve our own advertising, as described in section 8. We do not share your health information, your waivers or your session notes with any advertising platform.
- Email and text message delivery services, used to send you the messages described above.
- We may also disclose information if the law requires it, or if it is necessary to protect someone's safety.
6. Marketing emails and text messages
- You will only receive marketing emails or promotional text messages if you have opted in. Booking confirmations, payment receipts and cancellation notices are service messages and are not marketing.
- Every marketing email includes an unsubscribe link at the bottom. It works immediately.
- You can stop text messages at any time by replying STOP.
- Opting out of marketing does not affect your bookings or your account.
7. Photos and video
- We sometimes take photos and video in the studio for social media and marketing. You choose your preference when you sign your waiver.
- You can change your mind at any time by writing to us, and we will stop using your image going forward.
8. Cookies and tracking
- Necessary cookies. Our website uses cookies that are required for the site to load correctly, to keep your session stable and to keep our forms secure.
- Analytics cookies. Our website provider collects anonymous statistics about traffic, clicks and page visits, so we can see how the website is performing. No health information is involved.
- Advertising and measurement. We use the Meta pixel and campaign links (UTM parameters) to understand which ads and posts bring people to the studio, to measure results, and to show our ads on Facebook and Instagram to people who have visited our website. This is based on website activity only.
- Your choices. You can accept or decline non-essential cookies through the cookie notice on our website, clear or block cookies in your browser settings, and turn off personalized ads in your Facebook and Instagram ad preferences. Declining never affects your ability to book a class or a massage.
9. How long we keep your information
- We keep your account and booking history for as long as you are a client, and for a period afterwards so we can honor packages, resolve payment questions and keep the records our insurance requires.
- Waivers and health forms follow a one-year cycle. They are valid for 12 months and renewed every year, or earlier if you tell us that something about your health has changed. Each renewal replaces the previous version, so the information we hold about you is always the current one.
- Only the version in force is kept. When a waiver or an intake form is renewed, the previous signed version is deleted, so we hold one waiver and one intake form per client at a time: the current one.
- Payment and billing records are kept for seven years, as required for tax, accounting and audit purposes. This covers invoices, receipts, charges and refunds — never your full card number, which we do not store.
- You can ask us to delete your information at any time, as described below.
10. Your rights
If you live in Texas, you have the right to ask us to:
- Confirm whether we hold information about you, and get a copy of it.
- Correct anything that is wrong.
- Delete what we hold about you.
- Stop using your information for marketing.
Write to community@theplottwiststudio.com and we will respond within 45 days. We may need to confirm your identity first. If we cannot do what you asked, we will tell you why, and you can ask us to review that decision.
11. Children
- Our classes and massage services are for adults. The only exception is The Next Chapter (Mommy & Me), where babies and small children attend together with their parent.
- For that class, the booking must be made by the parent or legal guardian, who signs the Child Booking Waiver and shares any health information relevant to the child's participation. That information is used only to keep the child safe during the session.
- We never use a child's information for marketing, and we do not knowingly collect information from children in any other context.
- Photos and video that include a child are only taken and used with the written permission of the parent or guardian, given on that waiver. You can withdraw it at any time by writing to us.
- If you believe a child's information reached us outside of that class, write to us and we will delete it.
12. Security
- Your information is stored in password-protected systems operated by our providers. Access inside the studio is limited to the people who need it to do their work.
13. Changes to this policy
- If we change this policy, we will update the date at the top and, when the change is significant, we will tell you by email before it takes effect.
14. Contact
Your story, your body, your data — all yours.
